A medical scheduler is a person who arranges appointments for a physician in an office or hospital. Although scheduling appointments is her main focus, there are other duties involved to help operate a medical facility.
Scheduling Appointments
The primary duty for a medical scheduler is to schedule appointments for a doctor's office. Medical schedulers usually coordinate with doctors, staff, nurses, patients and other medical departments while setting up appointments over the phone or in person through the doctor's office window.
Troubleshooting
When a problem persists regarding a booked schedule or when a patient shows up late for an appointment, the medical scheduler has to find solutions to clear up the problem. If a patient does not show up for an appointment, the medical scheduler has to notify the medical director about adjusting the schedule. A scheduler may also cover emergency treatment phone calls.
Follow-Ups
Medical schedulers set up follow-up appointments for patients when they are required by the physician.
Receptionist
A medical scheduler may also have to assist or cover for the receptionist during business hours. This includes answering phones, greeting patients when they arrive and leave and talking with patients regarding their physician's appointment.
Administrative Duties
Medical schedulers usually have to perform administrative duties inside the doctor's office. Responsibilities consist of maintaining the appointment books, coordinating and overseeing department meetings, handling invoices, printing daily appointment reports for the medical clerk, working with the accounting department in processing bills or solving billing problems, dealing with faxes coming into the office and communicating with other departments.
